The date that matters isn't when you place the order. It's when the finished garment or shoe has to reach the store. That reorder only stays clean if the original specs, the dye lot reference, and the approved sample are all on file and the factory can pull them. So plan the reorder before you need it: agree the buffer quantity, confirm the AB and color reference up front, and keep the rhinestone spec sheet attached to the season rather than buried in an old email.
